In May this year, we launched Exhibitor Portals in Beta with Independent Art Fair. In occasion of Independent 20th Century Art Fair held last weekend, we’ve introduced several upgrades to provide further value to the exhibitors.
These enhancements are now ready to be extended to a broader audience and today we are excited to announce that they are being rolled out to most fairs using ARTSVP for their next editions.
 

Why the need for portals

After the transition to digital passes, art fairs have been dealing with many challenges in their VIP invitation process. GDPR concerns have led some galleries to hesitate in sharing client details, while exhibitors themselves struggled to keep track on who could attend. The portals allow galleries to distribute their own invites to their clients.
 

Empowering galleries and exhibitors

The use of portals allows exhibitors to generate unique single use invites and distribute them directly to their clients from their own email. Galleries can now take charge of their guest invitations, ensuring a more personalised and streamlined approach. The benefits for galleries using portals include:
  • Keeping track of who’s been invited, who has booked in and received their pass
  • Activity feed to see when invites were sent
  • Ability to customise the invite copy when sending invite, sending invite reminders through ARTSVP
  • Notification emails when guests book and check in
  • Support from the ARTSVP team

Success at Independent and 1-54

Both Independent and 1-54 served as the perfect testing ground for the latest version of portals. These portals have fundamentally improved guest management, creating a smoother, more transparent process. Both fair teams can now better monitor the invitation process, track when bookings are made, and determine the originating gallery for each booking. Simultaneously, communication with exhibiting galleries has been reduced thanks to a simplification of the entire process and support from the ARTSVP team.

Future plan for Exhibitor Portals

Many of our existing clients are looking forward to implementing portals in their next fairs. Features and functionality will continue to improve.
Some ideas being worked on include:
  • automated reminders for invites
  • messaging between the fair and the galleries
  • multiple logins for each portal
  • notifications improvements
