Running Your Fair

Fair week is mostly won before it starts. Running your fair means keeping the live guest list, the ticket rules, and the door team in sync from the first preview to the last public day — several entrances, several devices, one current view of attendance. Browser check-in works on every plan; QR scanning is .

Before the doors open

  1. Make a test booking for every important ticket type and slot.
  2. Confirm the ticket shows the correct event, date, and entry type.
  3. Test check-in, including a second scan for Multiple Entry tickets.
  4. Create scanner profiles for the devices at each entrance. A profile limits which events its device can access, so update it whenever a device moves to another door or event.
  5. Check the event’s Check-in window if early scans should be restricted.
  6. Give the door team event-level access or the scanner URL they need.

While the fair is open

  • Use the live Check-in page to search by name or email and record walk-ins.
  • Filter the guest list by status, ticket, slot, tag, or booking link when a queue has its own access rule.
  • Keep one live list across devices — check-ins update everywhere, with no printed versions to drift out of date. The browser check-in page does need a network connection to show current data.
  • Watch capacity and waitlist status before releasing more public links.

After each day

Export the guest list when another system needs a snapshot — and a snapshot is what it is: a CSV does not update after download. Review confirmed, checked-in, cancelled, and no-show guests, plus booking-link tags, before the next day’s invitations or capacity decisions.
