Booking Settings
All plans
Booking settings decide how guests book and what surrounds each booking: whether you approve requests first, what details the form collects, whether guests can change their minds, and the wording your booking page uses at every turn. Most of these controls live under the event’s Settings → Advanced tab; visibility and guest details sit in Details.
Two ways to take a booking
- Standard — guests book and are confirmed immediately, subject to capacity.
- Register Interest Pro & Expert — guests submit a request, and you approve or decline each one before anything is confirmed. The right mode for a private view where the list matters more than the speed.
What the form collects
Name and email can each be Hidden, Optional, or Required, so a press morning can insist on full details while a public day asks for almost nothing. Around them sit four toggles:
- Same Guest Details Per Booking — auto-filled guests copy the booker’s name and email.
- Edit Guests After Booking — the booker can update guest information after confirmation.
- Require Billing Address — collect a billing address when booking.
- Force Unique Bookings — only one booking per email address.
For questions of your own — dietary requirements, who invited them — see Custom fields.
What guests can do afterwards
- Allow Booking Changes — guests can modify their booking, subject to availability.
- Allow Booking Cancellations — guests can cancel. One thing to be aware of: cancelling never refunds automatically — issue any refund from Stripe.
- Allow Special Requests — guests can attach a note to their booking.
- Enable Waitlist — when the event sells out, guests can queue for a place.
Tickets and the door
- Issue Scannable Tickets — every guest gets a ticket with a QR code.
- Issue PDF Tickets — attach a printable PDF to confirmation emails.
- Enable Add to Wallet — offer Apple and Google Wallet passes after booking.
- Check-in window — how long before the slot a ticket can be scanned, from None up to 12 hours.
Payments extras
- Accept Donations — let guests add a donation while booking. Donations need Stripe connected under Settings → Payouts.
- Collect Gift Aid — show the Gift Aid declaration on paid bookings and donations. Gift Aid is available to UK organisations only.
- Enable Tracking Pixels — inject your organisation’s tracking pixels on this event’s booking pages.
The words guests read
Rewrite the standard wording guests meet at each moment:
| Message | Shown when |
|---|---|
| Sold Out Message | The event or a slot is fully booked with no waitlist |
| On Hold Message | The event is unpublished or bookings are paused |
| Cancel Message | Inside the cancel-booking confirmation dialog |
| Payment Info | On the payment step, above the card form |
| Invite Used Message | Someone reopens an already-used invite link |
| Register Interest Message | After a register-interest request is submitted |
