VIP Previews and Public Days

Should the VIP preview live inside the public event, or stand as its own? It is the oldest question in fair planning, and on ARTSVP either answer works. What decides it is whether preview and public days share capacity, tickets, and booking rules.

One event, when the rules are shared

Use a single Daily Slots event when every day carries the same tickets and booking settings. Set the opening and closing time per day and a capacity per slot; guests get one booking flow and your team one guest list.

Add ticket types such as VIP Preview, Public Day, and Weekend Pass, and use total ticket quantities when an access tier has a ceiling separate from the day’s overall capacity. One thing to be aware of: a ticket type does not create a separate event capacity pool by itself — the ticket’s Total quantity caps the tier, while slot capacity caps the whole time period.

Separate events, when the rules differ

Create separate events when a preview and a public day need different:

  • visibility or invitation access;
  • booking approval, waitlist, or cancellation rules;
  • confirmation emails and page wording;
  • capacity, tickets, or front-of-house teams.

Place the events in a collection so guests see one fair programme and choose the events they want. A guest who books separate events receives a separate booking and ticket for each one.

Route each audience in

  1. Send personal invitations to named VIPs, collectors, press, and patrons.
  2. Create booking links for newsletters, partners, social channels, or public sales — multiple links per event are .
  3. Give each booking link a clear tag so bookings can be filtered and exported by source.
  4. Use Register Interest when requests need approval before confirmation.
