Every new event starts in a four-step wizard that saves as you go. Nothing is visible to guests until you publish, so you can build in peace, leave halfway through, and come back later — the draft reopens at the first step that still needs attention.
Pick a starting point
New Event first asks what kind of occasion you are planning, and pre-fills a sensible schedule, ticket, and visibility to match:
- Private View — invite collectors and guests to one private opening.
- VIP Preview — welcome VIPs before the public opening.
- Press Preview — host press, with focused one-person registrations.
- Public Day Passes — one pass for each day of a public event.
- Timed Entry & Appointments — guests choose a precise visit time.
- Register Interest — collect requests, and approve bookings before confirming.
- Something else — a standard event, no presets.
A starting point is only a head start. Every choice it makes can be changed in the wizard, or later in the event’s settings.
The four steps
- Basics & Schedule — the event title, venue, date and time format (three formats to choose from), and capacity.
- Tickets — ticket types, extras, and promo codes. See Tickets and pricing. Tickets are free until you connect Stripe under Settings → Payouts; after that, you can charge.
- Event Content & Guest Controls — the image and description guests see, and whether guests may change or cancel their own bookings.
- Review & Publish — a summary of what is actually saved, anything still blocking publication, and the Publish button.
Publishing stays blocked until the event is genuinely bookable, and the Review step tells you exactly what is missing. In practice that means: a title, a venue, a schedule that produces at least one bookable slot, and at least one ticket.
Venues
An event’s venue comes from your organisation’s saved locations, so an address is entered once and reused ever after. Pick one from the list, or add a new location without leaving the wizard — it is saved for every future event.
A venue carries a currency and a time zone, and the event inherits both unless you set its own. Changing the venue’s Time Zone later (from Settings → Details → Edit location) only reaches events that still inherit it. If those events have bookings, you choose whether the bookings move: see Dates and availability.
Worth checking before you start selling: an event charges in one currency only, so a programme that spans two venues works best as one event per venue, grouped in a collection.
Tip: For anything you have run before, Duplicate the old event instead of rebuilding it. The copy arrives as a draft with the same setup, ready for new dates.
