Key Concepts

All plans

A small set of terms does most of the work in ARTSVP, and this page defines each one once — the shared vocabulary the rest of the documentation leans on. Skim it when you start, come back when a guide uses a word you have not met, or hand it to a colleague on their first day.

The building blocks

Term What it is
Organisation (your team) The workspace that owns your events, guests, settings, and billing. You can belong to more than one.
Space A group of events inside an organisation. Most teams work in one space; larger organisations separate programmes or venues into several.
Event A bookable happening: an opening, a fair day, an appointment schedule. Has dates, capacity, tickets, and its own public booking page.
Booking A guest’s reservation for an event, whether a free RSVP or a paid ticket purchase. A booking can cover more than one guest.
Invitation A personal invite sent to a named guest, with its own tracked response. Different from a booking link.
Booking link A shareable URL to an event’s booking page. Create different links for different channels to see where bookings come from.
Guest list The live list of everyone attached to an event: invited, booked, waitlisted, attended.
Ticket What a guest books or buys: free entry, paid admission, a day pass. An event can offer several ticket types.
Check-in Recording a guest’s arrival at the door.
Scanner A device profile for checking guests in by QR code.
ONE Pass A reusable pass guests can use across participating events.
Collection A group of events presented and shared together as one programme.
Portal A workspace you grant a partner (for example, a fair exhibitor) so they can invite guests to your event under their own allocation.
Allocation The invite quota granted to a portal.
Credits The prepaid balance that covers guests beyond your monthly free allowance and certain features. See Billing and credits.
Contact A person saved in your organisation’s contact book, built up automatically from bookings, invitations, and attendance.

Guest statuses

Every guest sits at exactly one status, shown as a badge on their row: Pending, Invited, Declined, Confirmed, Waitlist, Interested, Rejected, Cancelled, and Checked in. Most of these are also tabs on the guest list; Checked in is a badge only, and archived guests have their own Archived tab.

Guest List defines each status and shows how guests move between them.

Where things happen

  • The admin is where your team works: dashboard, events, guest lists, settings. The sidebar shows Dashboard, Events, Collections, All Guests, Portals, and Settings (some items depend on your plan and role). Portals opens Connected Portals (workspaces shared with you) and Managed Portals (portals you create for partners).
  • Public booking pages are what guests see: each published event and collection has one, styled with your branding.
  • Portals have their own separate access for your partners.
  • Scanners get a dedicated check-in interface for the door.

Roles

Each team member has a role that controls what they can do: Admin, Event Manager, Booking Manager, or Check-in only. Members can be added to the whole organisation or to specific events — Teams has the details.

One thing to be aware of: your plan and team role determine which areas and actions are visible to you, but the terms stay the same even when a feature is not available.
