A gallery’s programme rarely runs to one format. A private view this month, a run of studio visits the next, a collector event where every guest needs approving — each wants a slightly different shape. This guide turns those occasions into ARTSVP setups, starting from the three choices that matter: how guests gain access, how much approval you need, and whether attendance happens once or in bookable times.

Events, booking links, guest lists, and check-in work on every plan. Personal invitations, contact management, and branding are features, tagged where they appear below.

Choose the setup

Private view or opening Single Slot, personal invitations for selected guests, booking links for wider audiences.
Invitation-only event Private visibility, personal invitations, and guest details set to match the list you need.
Public capacity-controlled event Public visibility, a booking link, slot capacity, and a waitlist if needed.
Studio visit or appointment Custom Slots, capacity per slot, and one place per booking where appropriate.
Event requiring approval Register Interest, so your team approves each request before confirmation.

One guest list, many routes

Personal invitations, public bookings, imported guests, walk-ins, and partner routes can all feed the same event guest list. Use tags and separate booking links to remember where each guest came from — the provenance survives without splitting the one list your team works from on the night.

Alongside your CRM

ARTSVP is not here to replace your CRM or newsletter tool. Export contacts and attendance as CSV whenever another system needs them — bearing in mind a CSV is a point-in-time file, not a live sync. When another system needs ongoing updates, the API and webhooks can feed it continuously.

Tip: Build one complete event and duplicate its setup for the next opening. Settings belong to each event — changing organisation defaults never rewrites events that already exist — so review dates, capacity, links, and email wording on the copy before publishing.
