Invitations and Collectors
Pro & Expert
Collectors expect to be invited by name; a newsletter audience expects a link. ARTSVP keeps both routes. A personal invitation gives a named collector or VIP their own individual response route; a booking link serves the channels where the audience matters more than any one recipient’s identity. Personal invitations, contact management, and multiple booking links are Pro and Expert features — the Free plan includes one booking link per event.
Build the audience
Guest lists tend to arrive from everywhere at once — the director’s collectors, the artist’s friends, the comms team’s press sheet. Gather them like this:
- Add recipients individually, import a CSV, or select people from Contacts.
- Keep durable groups — “Press”, “London Collectors” — as contact lists and tags, so next season’s list is already half-made.
- Create the invitations and review any unsent Pending rows.
- Send from ARTSVP, copy personal invite links, or download the links for another delivery workflow.
Creating an invitation does not send it. Until you send it or mark the guest as contacted, the guest knows nothing about the event. And each invitation link is personal, with a use limit — never publish one as a general booking link.
A link for every channel
Create a separate booking link for each channel that needs its own reporting — newsletter, Instagram, WhatsApp, a partner. Give each a recognisable slug and tags. A link can carry a maximum number of guests, be switched off, or use Register Interest so bookings from that route wait for approval.
Read the story afterwards
The guest list shows invitation, booking, cancellation, and check-in activity as one lifecycle. After the event, export the list or open Contacts to see who was invited, who confirmed, and who came. Archiving an invitation removes it from the active list but keeps its history.
Contacts hold this engagement inside ARTSVP; moving it into another system is a separate export step unless you use the API or webhooks.
